The Ethical Backbone of a Notary Public

Integrity Ethics Reliability Honesty As A notary

Why Integrity Isn’t Optional in This Line of Work

In a world where identity theft is rampant, fraud is creative, and trust can be hard to come by — the role of a notary public isn’t just important. It’s essential. But what makes a notary truly exceptional isn’t just their stamp or seal... it’s their ethics.

What Does Ethics Mean for a Notary?

Ethics is about doing what’s right, even when no one is watching — and when you’re a notary, someone is always trusting you to get it right. That trust may come from a signer, a title company, an attorney, or even the Secretary of State. It’s earned, not assumed.

As a notary, you are a neutral third party. That means:

You don’t give legal advice.
You don’t play favorites.
You don’t skip ID checks just because someone “seems nice.”
And you definitely don’t backdate documents, ever.
If that makes you the buzzkill in the room? Good. You’re doing it right.

Why Ethics Matter More Than Ever

In recent years, the number of fraud cases involving forged real estate documents and fake power of attorney filings has skyrocketed. In many of those situations, a notary was either misled — or worse, complicit. Ethical notaries protect their signers and themselves by sticking to the rules.

That means:

Always verifying identity properly.
Refusing to notarize when something doesn’t feel right.
Reporting unethical behavior or fraud attempts to authorities.
Keeping a detailed, accurate journal (yes, even when no one checks it... yet).
The Cost of Cutting Corners

It’s not just your commission on the line — it’s your reputation, your livelihood, and in some states, even your freedom. Many notaries don’t realize they can be held personally liable for negligence or misconduct. One bad judgment call can cost thousands in legal fees... or worse.

You are your own risk manager. When you take your role seriously, you protect yourself, your signer, and the entire notary community.

Being Ethical is Being Professional

Ethics isn’t just a section of your training — it’s a daily mindset. When you walk into a loan signing or notarize a hospital directive, you’re showing up not just as a professional, but as a public officer of integrity.

At Notary Academy, we believe that being ethical is non-negotiable. We don’t just train notaries to be knowledgeable — we train them to be accountable.
